As an Office Administrator, you will play a pivotal role in supporting our operations and ensuring seamless administrative functions. Join us on this exciting journey and take the first step towards a rewarding career in the digital signage industry!

In order to be eligible for the internship, you need to meet the following criteria:

  • 18-34 years old
  • Candidate is defined in accordance with the BBBEE definition
  • South African citizen
  • Unemployed
  • Has not completed a Yes4Youth program previously.

Duties & Responsibilities:

Front Office Responsibilities:

  • Answer and route incoming calls to the appropriate person or department.
  • Take detailed messages when staff members are unavailable.
  • Maintain a pristine office environment and ensure all office spaces are fully operational and functional.
  • Welcome and assist walk-in clients, offering refreshments during meetings.
  • Provide general assistance and information as needed.

Administrative Tasks:

  • Coordinate courier services as required.
  • Monitor and maintain the e-toll account balance, ensuring timely payments.
  • Receive and sign for incoming parcels.
  • Manage office cleaning supplies and refreshments, sending procurement requests to the GM.
  • Handle filing, copying, and scanning duties.
  • Maintain updated forms with relevant information.
  • Laminate contact sheets for clients.

Financial and Record Keeping:

  • Update and maintain an inventory of office equipment for insurance purposes.
  • Record meeting minutes as needed.
  • Perform PA tasks for the GM, including calendar updates and meeting reminders.
  • Log calls for offsite/content purposes.
  • Reconcile monthly company credit card and petty cash expenses.
  • Process weekly claims for GM’s personal expenses.
  • Conduct monthly fuel reconciliations for all region vehicles.

Security and Communications:

  • Change alarm/access codes as necessary.
  • Divert calls to the GM’s cell after 5 pm daily.
  • Implement and manage vehicle sign-out procedure.
  • Maintain an updated installation list/calendar, sending it monthly to the GM.

Procurement and Facilities Management:

  • Request quotes and order equipment from suppliers as needed.
  • Order stationery for all staff members.
  • Book company vehicles for services and process payment requisitions.
  • Assist with planning and coordinating regional social events.
  • Support stock control activities as required.
  • Manage staff and visitor registers.
  • Assist with OHS documentation compliance.
  • Maintain the boardroom calendar.

Minimum Requirements:

  • Grade 12 certificate or equivalent qualification.
  • Proficiency in computer skills, including MS Office (Word, Excel, Outlook, PowerPoint).
  • Strong communication skills, both verbal and written.
  • Excellent organizational and time management abilities.
  • Attention to detail and accuracy in tasks.
  • Ability to work effectively in a team as well as independently.
  • Willingness to learn and take on new responsibilities.
  • Basic understanding of office procedures and administrative tasks.
  • Ability to adapt to a fast-paced work environment.
  • Availability to commit to the duration of the internship program.

Package & Remuneration:

Basic Salary – R6,000.00 per month.
